Höegh Autoliners is a global player in Ro/Ro deep sea transportation services and operates the greenest fleet in this segment. The company owns and operates approx. 40 Pure Car and Truck Carriers (PCTCs) in global trade systems, making around 3 000 port calls yearly. Managed from a worldwide network of around 16 offices, our main customers are major manufacturers of new cars, heavy machinery and other rolling stock. We are working towards a goal of zero emissions by 2040 and have an exciting roadmap to achieve this.

A Lot About You:

The Legal Secretary will ensure smooth running of the legal department administration. The Legal Secretary will provide a broad spectrum of legal assistant services under the supervision of the Head of Legal.

Reporting to:

  • Head of Legal

Main responsibilities:

  • Acting as secretary/PA to the legal team;
  • Keeping updated insider and project lists (if any/as relevant);
  • Updating the Group’s organisational chart and registrations with the relevant company registries;
  • Keeping a corporate file (board documentation and resolutions);
  • Keeping the Group’s legal archive;
  • Administrative assistance on transaction, e.g. purchase and sale of vessels, financing, etc.;
  • Maintaining the Group’s standard agreements to ensure updated archives;
  • Assisting with drafting standardized cooperation and confidentiality agreements;
  • The administration role for Know Your Customer (“KYC”) requests on a Group level;
  • Acting as secretary to relevant Board and Committee;
  • Update of filing/reporting and sanction list monitoring and file anti-corruption incidents and sanction list screening;
  • Providing assistance on search and other legal related matters of any kind;
  • Support and comply with company policies and procedure for Occupational Health and Safety, Environmental and Quality Management System as required by ISO 9001,14001 & 45001.

Qualifications:

  • Experience in Law or Law related studies;
  • Proven working experience as legal assistant (preferably from a law firm);
  • Competence with filings and other corporate requirements in Norway and globally;
  • Fluent in Norwegian and English;
