Job Description
Functional Responsibilities:
Responsible for a range of administrative functions resulting in smooth and effective day to day operations.
Functional Duties:
1. Responsible for preparing and processing monthly flight crew allowance. Ensure all the discrepancies of flight crew allowance are fixed, resolved and the monthly report submitted to the respective department prior to the cut-off date.
2. Monitor and follow up on daily operations disruption for flight crew movement such as late reporting / late sign on, reporting sick less than four (04) hours prior to sign-on, AWOL, MIA, NILDOC and late submission of medical / license renewal.
3. Update and keep track of flight crew medical certificate submission. Follow up on failure to submit medical certificate records. Issue templates to be forwarded to CAAM for sickness more than 21 days.
4. Prepare correspondences such as appreciation letter, recommendation and commendation letter, letter to authorities, dispensation letter, disciplinary letter etc. .
5.. Updating and maintaining the Merit / Demerit database on a monthly basis.
7. Managing Voyage Report (VR) remarks and dissemination to the respect department. This is to ensure all valuable insights and comments on the flight are shared with all for overall awareness, follow up feedback and send feedback to the commander.
8. Administer hub manpower movement and arranging logistics.
9. Coordinate and conducting Senior First Officer upgrade examination
10.Arrange crew logistic inclusive of accommodation booking for the flight crew
11.Verifying flight crew flying logbook
12.Provide administrative support with regards to airport pass application
13.Preparing monthly Executive Summary Report (ESR)
14.Processing all Flight Operations related invoices
15. Facilitate briefing sessions for new joiners and provide administrative support
16. Run through the monthly staff listing and ensure the discrepancies are highlighted to the respective department
17.Uniform management including the issuance to tech crew. Keep track the stocks balance and ensure sufficient stocks are in hand
18.Manage flight crew seniority list and GD travel list
19. To carry out any other duties assigned by the Director of Flight Operations / Chief Pilot Operations / Assistant Chief Pilot Operations/ Flight Operations Administration Manager as and when required.

Merits:
Minimum working experience:
a. Experience of working in an office is essential, preferably in airline/hospitality organization.
b. Office advance, preferably in records management, document processing, computer and
data processing.
Office advance, preferably in records management, document processing, computer and data processing, experience in document control preparation for ISO 9000 certification.
Education:
Diploma/Bachelor Degree in Business Administration or any related field with minimum of two (02) years experience
